Office Manager - (Part-Time)

VICELLO is a design-led joinery house recognised for precision, craftsmanship and the depth of expertise we bring to every residential project. As the business continues to evolve, we are seeking an exceptional Office Manager to take full control of our internal operations and elevate the Directors out of the day-to-day running of the organisation.

This is a senior, trusted role suited to an intelligent, highly organised professional with 5+ years’ experience, who thrives on responsibility, structure and discretion. You will be central to how VICELLO operates.

Part-time hours with an attractive remuneration package is on offer, corresponding with experience and seniority.

 

The Opportunity

This is not a support role in name only. You will act as the operational anchor of the business, ensuring clarity, efficiency and consistency across people, systems and communication.

You will work closely with the Directors, exercising sound judgement, setting standards and making the role your own.

Key Responsibilities

  • Act as the operational gatekeeper for the business
  • Full management of inboxes for two Directors – triage, prioritise and action correspondence with discretion
  • Proactive diary management for two Directors, across business and personal commitments
  • Draft and issue communications on behalf of the Directors
  • Arrange travel, accommodation and logistics
  • Own day-to-day office operations and administration
  • First point of contact for VICELLO – phone, email and general enquiries
  • Payroll administration for up to 20 employees
  • HR administration including recruitment coordination, advertising, onboarding, training support and contract preparation
  • Prepare employee commencement documentation and employment contracts
  • Support accounts receivable – invoice assistance and follow-up
  • Manage all business insurance, including PPL and Workers Compensation
  • Oversee company fleet – fuel accounts, insurance, maintenance, acquisition and transfers
  • Administration of three leased properties
  • Manage administration staff and maintain performance standards
  • Take minutes, track actions and distribute outcomes from meetings
  • Coordinate internal and external gifts, acknowledgements and awards
  • Lead internal initiatives and research projects as required
  • Work closely with the Occupational Health and Safety Manager, providing administrative support only (this role does not hold OHS responsibility)

About You

  • Minimum 5 years’ experience in an Office Manager, Executive Assistant or senior administration role
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, Teams)
  • Proven experience using Xero
  • Exceptional written and verbal communication skills
  • Polished, professional phone manner
  • Highly organised with strong commercial awareness
  • Meticulous attention to detail and follow-through
  • Discreet, emotionally intelligent and confident exercising judgement
  • Customer-focused, calm under pressure and solutions-oriented
  • Comfortable taking ownership and improving systems

Joinery Draftsperson – CabMaster

VICELLO is on the lookout for a talented and experienced Joinery CAD Drafter to join our dynamic team. If you have a passion for quality joinery and a keen eye for detail, this is the perfect opportunity for you!

Role and Responsibilities: 

As a Joinery Draftsperson at VICELLO, you will:

  • Produce shop drawings for client presentations and signoffs using CabMaster software.
  • Amend drawings based on site measure notes and appliance specifications.
  • Read and interpret architectural plans for production.
  • Liaise between various departments within the company.
  • Perform file conversion and nesting functions for CNC.
  • Prepare production files for manufacturing.
  • Order hardware and materials from suppliers.
  • Manage stock intake and control systems.
  • Provide on-going training and support to Junior Joinery Drafters.


Requirements:

  • Proficient in CabMaster software.
  • Minimum of 5 years of joinery drawing experience.
  • Knowledge of Australian manufacturing standards and protocols.
  • Ability to self-manage workload.
  • Previous experience in residential cabinet making and joinery.
  • Familiarity with industry products
    and materials is a plus.
  • Strong commitment to staying current on industry trends, kitchen design innovations, and environmental preservation.
  • Must have unrestricted working rights in Australia.
  • Must be comfortable to work on-site at the VICELLO Studio in Ingleburn (2565, NSW) 5 days a week.

Joinery Designer

While we are not actively recruiting for this role at the moment, we are always excited to hear from experienced Joinery Designers looking for their next opportunity!

What Our Joinery Designers Do: At VICELLO, our Joinery Designers are responsible for creating visually stunning and functional layouts and designs. They produce detailed plans, source materials, and manage multiple projects, all with a focus on client satisfaction. Our designers build strong relationships with in-house teams, clients, and suppliers to ensure the smooth implementation of joinery designs.

Necessary Requirements:

  • Bachelor’s degree or certification in Interior Design.
  • Experience in designing kitchens, with advanced knowledge of cabinetry, hardware, finishes, surfacing materials, and trends.
  • Excellent design, visual, and spatial acuity, along with technical drafting skills.
  • Strong communication and interpersonal skills, with the ability to manage client relationships with tact and diplomacy.
  • Ability to create detailed budgets, manage multiple projects, and meet project and team deadlines.
  • Proficiency with design software such as CAD and SketchUp.
  • Strong documentation skills.
  • Knowledge of local building codes, regulations, and safety standards.
  • Ability to perform physical tasks such as measuring and site visits.
  • Commitment to staying current on industry trends, joinery design with an emphasis on kitchen joinery innovations, and environmental preservation.
